Valley United Soccer Club (VUSC) recognizes that unforeseen circumstances may require a player to withdraw from the club. At the same time, significant administrative, staffing, league, and team formation costs are incurred well before the season begins. This policy balances fairness to families while protecting the club and its members from the financial impact of late withdrawals.
Registration fees are refundable according to the following schedule:
During the online registration period:
Registration fee less a $20 administration fee.
After registration closes but before Player Showcases begin:
Registration fee less a $50 administration fee.
After Player Showcases begin but before team placement offers are issued:
Registration fee less a $150 administration fee.
After team placement offers have been issued and accepted:
No Refunds
Players accepting a roster position are committing to the team for the upcoming season. Once team placement has occurred, the club has committed coaching resources, league registrations, player rostering, scheduling, and operational expenses on behalf of that player.
Medical Withdrawals
Players unable to continue due to a documented medical condition may request consideration for a club credit toward a future VUSC season.
Credits are considered on a case-by-case basis and are not guaranteed; may require supporting medical documentation; and are issued solely at the discretion of the Club.
Exceptional Circumstances
Requests for refunds or credits outside this policy may be reviewed only in exceptional circumstances. Approval is at the sole discretion of the Club and does not establish precedent for future requests.
Refund Procedure
Families requesting a withdrawal must submit their request in writing to the Technical Director or Club Administrator.
Requests should include:
Player’s name
Age group
Season
Reason for withdrawal
Date of withdrawal
Confirmation that the family has reviewed the VUSC Refund Policy
If team placements have been announced or the season has begun, the player’s Head Coach should be copied on the withdrawal request.
Outstanding Fees
Players with outstanding registration balances or unpaid withdrawal fees will not be eligible to register for future VUSC programs until their account has been brought into good standing.
